East Boldon Scout Group – Terms and Conditions for Camps and Activities
These Terms and Conditions apply to all parents, carers, and guardians booking places for their young person(s) on any camp or activity organised by East Boldon Scout Group.
1. Booking and Payment Responsibility
· All bookings for camps and activities must be made via Online Scout Manager (OSM).
· When a parent/carer selects “Yes” on an OSM event invitation, this action confirms the young person’s place and constitutes a binding commitment to pay for the activity.
· By clicking "Yes", you agree that you are liable for covering the full cost of the event, whether or not your child later attends.
2. Group Subsidies
· East Boldon Scout Group works hard to subsidise the cost of camps and activities wherever possible, to make events more affordable for families.
· These subsidies are applied based on expected attendance and fixed costs.
· If a place is cancelled and cannot be filled, the parent/carer may be liable to repay the full, unsubsidised cost of the place to ensure the group does not incur a financial loss.
3. Waiting Lists
· Some camps and activities have limited spaces available.
· When an event is full, a waiting list will be activated and managed via OSM.
· Places on the waiting list are allocated on a first come, first served basis.
· If a space becomes available, the next person on the waiting list will be contacted automatically by OSM and offered the place.
4. Payment Terms
· Payments are non-refundable under normal circumstances.
· A payment schedule may be offered to help spread the cost of camps or activities.
· If you are experiencing difficulty making payments, you must contact East Boldon Scout Group by email as soon as possible. We understand circumstances can change and will do our best to offer support where possible.
5. Refund Policy
· Refunds will only be considered if East Boldon Scout Group is able to fill the vacated place with another participant.
· A refund will only be issued once the place has been filled and confirmed by the Group via email.
· All refunds are at the discretion of East Boldon Scout Group and may not include full reimbursement depending on costs already incurred or subsidies applied.
6. Communication
· All communication regarding payments, cancellations, refunds, or support requests must be made via email to the East Boldon Scout Group team.
· It is the responsibility of the parent/carer to ensure contact details on OSM are up to date to receive all event and payment information.
7. Acceptance of Terms
· By booking a place on any event through OSM and clicking “Yes”, you confirm that you have read, understood, and agreed to these Terms and Conditions.
