East Boldon Scout Group – InTouch System
(In line with Scouts UK POR)
1. Purpose of InTouch
The InTouch system ensures that for every activity, parents/carers, leaders, and young people know:
How leaders can be contacted.
Who to contact in an emergency.
How information will be shared.
This system applies to all East Boldon Scout Group activities, from weekly meetings to camps and residentials.
2. Communication by Activity Type
A. Weekly Meetings at the Scout Hut
Parents/Carers drop off and collect young people directly from the hut.
Leaders have emergency contact details for all participants.
Communication Method:
Parents contact the Section Leader (phone/email) if running late or need to pass on a message.
Leaders will contact parents directly if a child becomes unwell or an incident occurs.
InTouch Contact: Not usually required, as parents are on site at start and end of the activity.
B. Off-Site Activities (Day/Evening Trips, Hikes, Visits, etc. NOT OVERNIGHT)
Parents/Carers drop off/pick up at agreed meeting point.
Event/activity Leader holds emergency contact details and medical information.
All essential information is stored securely on the Group mobile phone or Group iPads via OSM.
InTouch Contact appointed (not attending the activity, another leader at the hut).
Communication Method:
Parents contact the hut (InTouch Contact) if they need to reach their child during the activity.
InTouch Contact passes messages to the Event Leader, if parent contacts the hut.
Leaders will update the InTouch Contact at the hut if return times change or Matt/Ali (Group Lead Volunteers) in case of emergency.
Parents/Carers will be informed of the InTouch Contact details in advance.
C. Residentials (Camps, Nights Away, Trips Involving Overnight Stay)
InTouch Contact is mandatory and must not attend the event.
Event Leader holds full emergency and medical information for all participants via OSM.
All essential information is stored securely on the Group mobile phone or Group iPads via OSM.
Communication Method:
Parents contact the Group Mobile if urgent communication is required. If emergency/ urgent change of plan is needed due to parental circumstances Group Lead Volunteers must be informed before any decisions are made and communicated back to parents.
Leaders will update the incidents/ emergencys, delays can be communicated by the event leader via OSM/ Social Media.
The Group mobile phone number will be shared with parents and kept switched on 24/7 during the camp for emergency use.
Routine updates (such as arrival, key activities, or return times) may be shared via Group email/text or through the InTouch Contact.
Parents/Carers must not contact leaders personally during the residential, only through group mobile unless specifically advised.
3. Emergency Procedure
If an emergency occurs:
Event Leader ensures the immediate safety of young people.
Emergency services contacted if required.
Matt/ Ali and InTouch Contact informed as soon as practical.
If Matt/ Ali are not InTouch they will liase with InTouch Contact at home to inform parents/carers.
District Commissioner notified.
Incident reported following Scouts UK POR.
4. Parent/Carer Responsibilities
Ensure contact details and medical information are up to date.
Use the agreed communication route for each type of activity.
Follow drop-off and collection instructions provided by leaders.
5. Review
This InTouch system will be reviewed annually and after any major incident to ensure it remains effective and compliant with Scouts UK POR.
All first aid incidents must be reported via this link.
This will notify the Group Leadership Team and we will be in touch if further information is required.
